For an iCloud Drive file, Remove Download removes the downloaded local copy while retaining the cloud file. Delete removes the file from iCloud Drive and affects its synced availability. Read the full location and action before confirming; other providers and On My iPhone folders can behave differently.
The same document can have a cloud copy and a download
You want to recover device space without losing a document. Removing its download and deleting its cloud entry solve different problems. One changes local availability; the other changes the synced storage record itself.
Start by confirming you are in iCloud Drive. A file under On My iPhone or another cloud provider follows that location’s rules, and a similarly named menu action is not enough to prove the same outcome.
Match the action to your goal
Use Remove Download when you want the file to remain in iCloud but do not need its complete local copy. You may need internet access to open it again. If you need a document during travel, check Keep Downloaded or verify a separate local copy before departure.
Use Delete only when you intend to remove the synced file, after preserving anything you need. Read the confirmation and review recovery options available for the location. Do not use deletion as a shortcut for clearing a local cache.
- Inspect Files → Browse and confirm the item is in iCloud Drive.
- For local-space cleanup, use Remove Download when available.
- For offline access, keep or download a complete copy and test it.
- Delete only when you intend to remove the synced file itself.
Neither action adds a private password
Removing a download can leave the filename and cloud entry visible. Deleting a cloud file does not erase copies previously exported, emailed, or downloaded by other people. Storage cleanup and private access need separate reasoning.
If you are moving a document into a vault, verify that import before changing the source. Otherwise you can remove the cloud file while the supposed replacement is only an incomplete preview or an unreadable document.
Keep a private retained copy in Octoshield
Octoshield can import a complete file into its local encrypted vault. Confirm that it opens, then separately decide what should happen to the iCloud Drive source. Its file importer does not silently remove remote originals.
Local vault storage uses device space and is excluded from backups. Export essential documents before changing devices, and remember that exported plaintext follows the receiving location’s rules.
Frequently asked questions
01Will Remove Download hide the filename?+
Do not assume so. The cloud item can remain visible and downloadable even when its complete local contents are removed.
02Can I open a removed download offline?+
You should not rely on it. Keep a complete downloaded copy or test a separate local copy before disconnecting.
